E-address – a simple and secure way to communicate and receive invoices

The new year brings new requirements for businesses. Starting January 1, the use of e-addresses will be mandatory for all legal entities.

What does this mean for the business environment? Every company will have its own verified, official electronic address to receive important messages from state administration institutions. Currently, most companies rely on emails or business management systems for digital document exchange, but due to staff turnover or absences, important messages often remain unopened in the electronic mailbox for weeks and fail to reach the recipient. As a result, a company may miss critical notifications from state institutions or at least claim that they did not reach the recipient. The e-address will change this situation.

A legal entity's e-address can be created in two ways - on the state administration service portal Latvija.lv or by integrating the solution into the company's document management or business system. This can already be done in our system Jumis, and it allows companies to both receive and send invoices to clients directly to the e-address.

It should be emphasized that letters cannot be sent from the e-address to individuals or companies unless they are entrusted with state administration functions. This means that currently the e-address facilitates communication between the state and its citizens – both individuals and legal entities. E-address users can already receive notifications from 3,400 state and municipal institutions at any time and from any location. Communication via the e-address is possible with all institutions listed in the Public Persons and Institutions Register available on the Enterprise Register website. These include state institutions such as the Food and Veterinary Service, the State Labor Inspectorate, the Competition Council, and others, as well as municipalities, municipal institutions, municipal capital companies, the prosecutor's office, judicial institutions, insolvency administrators, sworn bailiffs, and sworn notaries.

For legal entities, the e-address not only enables communication with state and municipal institutions but also allows them to apply for various services, register a company, request and receive licenses and permits necessary for economic activities, submit applications and invoices, conduct transactions, receive extracts of decisions from institutions, obtain information about property taxes, and carry out other property-related activities.

The most significant contribution of the e-address is faster document circulation and the ability for the state to save money on postal expenses. Both benefits are in the interest of companies, the state, and society as a whole. Moreover, electronic delivery reduces the risk of information leakage, as it goes directly from the sender to the recipient via a highly secure channel, whereas even registered mail passes through many hands. The saved trees, which will no longer be needed for letter paper and envelope production, should not be underestimated either. Therefore, it can be confidently said that with the introduction of the e-address, Latvia will become even greener and more sustainable. 

To create an e-address, all you need is the eParaksts mobile solution, which many companies and self-employed service providers adopted during the pandemic years. An eID card is not necessary. To create an e-address, go to the portal Latvija.lv, click on the section "Create your e-address." Then, on the additional information page, find the section for entrepreneurs and click the button "Create e-address." You will be asked to identify yourself using an electronic signature tool, and that's essentially it. Within a few minutes, the e-address is created.
